(v1) .Workers/Contacts - GLA Permissions Tab v2020.2

GLA Permissions

GLA Permissions tab

The 'GLA Permissions' tab will allow a User to limit a Contact to be associated with specific GLAs for greater administrative control. Whatever GLA Permissions are set here are the GLA(s) that the Contact will have access to via the CustomerCenter.

When a Contact is assigned to a Department OR is a Coordinator for a Department the Contact inherits the Department's GLA Permissions.

Add

To limit a Contact to a GLA(s) follow these steps:

  1. Click the  button.
  2. This will open the 'Add New GLA Permission' form.
    Add New GLA Permission form
  3. Select the GLA or GLAs that are desired to associate from the grid. Filters and Search can be used to sort to the GLA(s) that are desired.
  4. Click the Save and Close button button.

The GLA Permissions will be added to the Contact record. Any time Users attempt to assign a GLA through the CustomerCenter for this Contact record, the GLA(s) available will be limited to the ones in this list.

Permit None

If the Contact should never be allowed to be associated with a GLA simply click thePermit None button button. Any previously associated GLA(s) will be removed and a message will appear in the grid that says 'No GLA entries may be used with this Contacts entry.' By default, when a new Contact is created the Permit None option is automatically added.

To remove the 'Permit None' restriction, simply select the message in the grid, and then click the Delete Selected button button.

GLA Permissions Contact Inheritance

Users can set the Permission at the Department level and the Contact will automatically inherit the GLA Permissions from the Department level. Any GLA Permissions that the Contact inherits from the Department will be displayed on the 'GLA Permissions' tab by pressing the Inherited Permissions button button.

GLA Permissions Contact Inheritance from Department Rules

Contacts become assigned to a Department on the Contact form's Customer Tab. When assigned, the Department's GLA Permissions are shared with the Contact.

Below are the rules as to how a Contact assigned to a Department inherits the GLA Permissions from that Department:

  • When a Department on the Contact's Customer Tab is specified, the Contact will inherit the GLA Permissions from that Department.
  • When Department adds a new GLA Permission(s), assigned Contact will inherit that/those new GLA Permissions.
  • When Department deletes a GLA Permission(s) assigned GLA will gain/lose those GLA Permissions.
  • When a Contact is removed from a Department, the Contact loses the GLA Permissions from that Department.
  • When the Contact is assigned to a Department that is the Child of another Department, the Contact will inherit
the GLA Permissions of both of the Departments.
  • When Department A gets a new GLA Permission(s), the assigned Contact will inherit those GLA Permissions.
  • When Department A deletes a GLA Permission(s), the assigned Contact will lose those GLA Permissions.
  • When the Contact is removed from the Department on the Contact's Customer Tab, the Contact will lose the GLA Permissions from that Department.
  • When a Contact is made a Coordinator for a Department, the Contact inherits all GLA Permissions of that Department.
